Apply Online with Pro-Cert

The most convenient way to manage your certification is in the myPro-Cert portal. This page will guide you to the correct forms for your type of operation.

All the documents you need to submit can be found in the Self Assessments tab of myPro-Cert by clicking on the “+New” button. For a brief overview of which self assessments you may need to complete for your operation, select the scope category(s) below that best fit your operation.

If this is your first application for certification with Pro-Cert, or you are adding certification programs or changing the scope of your certification, we need to update our contract with you through the Application for Certification found here.

Field Crops & Livestock

 

As an organic producer you will need to complete our Producer Organic System Plan – you may find it when you press the “+New” button under the self assessments tab listed as “Organic System Plan – Producer”.

All crop producers will need to complete or update their field histories – “Table 4.1 Field Management Details – Current”.

If you are using any Inputs in your operation, including soil amendments, crop aids, livestock feed supplements, health care items, cleaners, etc. you will need to complete an “Input Substance Summary” self assessment as well.

Depending on the scope of your activities you may also need to complete an Appendix to your Organic System Plan and these may be found listed as follows:

For Livestock – “Appendix A – Livestock/Herds/Flocks”, “Table 4.3 Livestock Feed Rations”, “Herd Inventory”

For On-Farm Processing, Packaging/Labelling – “Appendix B – On-Farm Processing”:

  • “Organic Product List”
  • “Single Ingredient Product Profile”
  • “Master Supplier List – Organic Ingredients”

For Greenhouse / Mushrooms / Growth Chamber – “Appendix C – Greenhouse or Growth Chamber Production”, “Table 4.1D (Greenhouse)”

For Apiculture – “Appendix E – Apiculture”

For Off-Site Processing – “Appendix F– Off-Site Processing”:

  • “Organic Product List”
  • “Single Ingredient Product Profile”
  • “Master Supplier List – Organic Ingredients”

For Organic Plus Trust Grass Fed Organic Add-On – “Appendix G – Grass-Fed Organic (OPT)”

For Producer Groups – “Appendix J – Producer Groups

Processors/Handlers

an organic processor you will need to complete an Organic System Plan – you will find it and the additional self assessments identified below when you press the “+New” button under the self assessments tab.  To begin select the assessment listed as “Organic System Plan – Processor”.

 A complete list of products for certification will need to be completed via the “Organic Product List.”  For consumer packaged goods, products should be listed using the product names as labelled.

 If you are renewing your certification you will need to provide an update on the status of any compliance issues arising from your most recent certification period on the “Corrective & Preventative Action Status Update.”

 A list of critical points used to monitor and maintain the status of organic products in your process must be identified on the “Organic Control Points Summary.”

 A complete list of your organic suppliers must be added in the “Master Supplier List – Organic Ingredients.”   If you are also using non-organic ingredients you will need to complete the “Master Supplier List – Non-Organic Ingredients.” 

 If you are using any Inputs in your operation, including cleaners, sanitizers, boiler additives, processing aids, etc. you will need to complete an “Input Substance Summary” self assessment as well.

 If you’d like to request a new input for use in your organic production, please start, complete and submit an “Input Review Request” self assessment.

 For convenience, we have included additional forms that may be required to be completed by you, and/or your suppliers/vendors at www.pro-cert.org/processor-documents.  These may include:    

  • Organic Product Profile – a separate Organic Product Profile will be required for each unique multi-ingredient product.
  • Non-Organic Ingredient Affidavit – required for each non-organic ingredients used to formulate an organic product to verify compliance with standards.
  • Commercial Availability Search – to be completed documenting a search for commercially available organic ingredients, prior to use of non-organic ingredients.
  • Uncertified Brand Owner Agreement – to be completed by brand owners when using your facility for co-manufacturing.

 These documents, once completed may be uploaded in the Checklists portion of the “Organic System Plan – Processor”; or by using the Files tab in the myPro-Cert portal.

Maple Syrup Production

As an organic maple syrup producer you will need to complete our Producer Organic System Plan – you may find it when you press the “+New” button under the self assessments tab listed as “Organic System Plan – Maple Syrup”

You will need to complete or update your sugar bush histories – “Table 4.1 Field Management Details – Current”

For new applicants or if you are adding any new sugar bush areas – “New Land History”

For all Inputs used in your operation, including defoamers, pest control substances, filters, cleaners, etc. you will need to complete an “Input Substance Summary” self assessment.

For each of your maple syrup products, you need to complete a “Schedule 7.1 – Organic Product Profile” (1 for each product) self assessment.

If you purchase in any ingredients to use in maple syrup products, including organic sap you need to complete a ““Master Supplier List – Organic Ingredients” self assessment.

If you’d like to request a new input for use in your organic production, please start, complete and submit an “Input Review Request” self assessment.

Wild Crops

Ready to Start?

When you complete your Organic System Plan and supporting document in myPro-Cert, your information will carry over and be re-populated into the documents in future years to save you time and effort in managing your certification process. This will also allow you to provide updates to your Organic System Plan in real time as things change on your operation!

At the end of each self assessment, when you hit submit, the completed document will be available in the files tab of your myPro-Cert account. Please be sure to download and save a copy of your submitted documents for your records at home!
